Hourly Wage: $25.60/ hr, (37.5 hrs per week)

Job Duties

  • Provide administrative support regarding compliance matters
  • Pick up and deliver mail, arrange for couriers
  • Open and file all correspondence and mail received with respect to conveyancing
  • Input data into database including deals, listings, Realtor® profiles, invoices, forms, and other documents
  • Process all assigned listing and transaction files including drafting letters to various Organizations
  • Review all documents submitted by agents whether electronically or hardcopy and verify complete file
  • Send documentation and instructions to lawyers/ other brokers
  • Ensure that all files are properly and securely stored for easy retrieval
  • Preserving the confidentiality of the client's personal information by not allowing records to be shown to any parties without the proper authority to do so per the Privacy Act in BC and PIPEDA
  • Adding or removing agents as they join/leave the office and updating the roster
  • Other duties to meet the needs of the business, as directed by Management from time to time

 

Qualification:

  • Completion of secondary school is required
  • Completion of a one- or two-year college or other program for business administrative is preferable
  • At least 1-year working experience in Administrative Assistant or related field; Experience in Real Estate company would be a strong asset
  • Excellent written and verbal communication skills
  • Ability to work both independently and as a team
  • Strong work ethic, with initiative and capable of multitasking and meeting deadlines in a fast-paced and often changing environment
  • Skilled in the areas of attention to detail, accuracy, confidentiality, dependability, and organization
