Description

We are looking for an Administrative Assistant/Project Manager who can take responsibilities to provide excellent administrative support ensuring the efficient operation of the office preferably with a background in HR. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant/Project Manager duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Typically reports to a manager or head of a unit/department.

Responsibilities

  • Answer and direct phone calls
  • Submit Purchase Requests
  • Handle multiple projects
  • Maintain Uniform inventory by keeping track though employee uniform sheets and excel worksheets
  • Open and maintain any new location files
  • Ensure, order and maintain new and existing location signage
  • Handle sensitive information in a confidential manner
  • Reply to email, telephone or face to face enquiries
  • Receive, sort and distribute the mail
  • Maintain up-to-date employee and client holiday records and greetings
  • Coordinate repairs to office equipment
  • Attention to Detail
  • Accuracy

  • Discretion and Judgment
  • Place employment ads in systems
  • Set up applicant interviews and ensure applications are filled out entirely and correctly
  • Complete an initial interview with applicant
  • Maintain a correct and accurate employee filing system
  • Keep up-to-date with state and federal employment laws through our HR Resource or publications

 

Qualification:

  • Minimum of 2+ years of hands on administrative support experience
  • Proficiency in MS Word, MS Excel and MS Outlook a must
  • Knowledge of operating standard office equipment
  • Excellent communication skills – written and verbal
  • Ability to prioritize projects and strong problem solving skills
  • Good research skills and attention to detail
