Description

Ahern Rentals is looking for an Administrative Finance Assistant who can provide high-level administrative support to the VP of Finance and other management while performing a wide range of duties in the administrative office like mailing, scanning, faxing, copying and ordering office supplies.

Essential Duties and Responsibilities:

 

  • Answer and action all incoming communication requests via phone, fax, email or personal interaction
  • Manage calendar for Management, organize and schedule meetings and appointments
  • Maintain electronic and hard filing systems
  • Process all incoming finance documents and input data to be used by management
  • Coordinate with Risk Management to obtain insurance certificates on all schedules (initial and upkeep)
  • Work with Lenders and Tax Department regarding Property Tax Reports
  • Obtain W-9’s for Vendor Management
  • Work with Lenders to:  coordinate meetings for VP, obtain copies of resale certificates and past due payments
  • Prepare finance documents for execution by management
  • Work with confidential documents in a secure manner
  • Prepare meeting agendas and supporting material for distribution
  • Other responsibilities as assigned based on pending finance projects
  • Other duties as assigned by management

Qualifications:

 

  • Minimum of 1 year experience in Finance
  • Proficiency in MS Office programs to create and edit Excel spreadsheets, reports, charts and pivot tables
  • Excellent time management skills and ability to multi-task and prioritize work
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Must be able to read, write, and speak English
  • Must be able to pass drug test and background check
  • Must be able to provide Motor Vehicle Record at time of job offer (current within 15 days)
