Job Type: Permanent Full-time, 32.5 hours per week

Number of Positions needed: 1

Wages: $ 25 per hour, $37.5 per hour after 6.5 hours per day, 32.5 hours per week

Top Consulting Group Inc. is a busy consulting firm that provides professional services to customers in education, immigration, business/entrepreneur investment, and settlement consultation to satisfy their needs.  In order to support our daily administrative work, we need a qualified Administrative Assistant equipped with skills and abilities to perform the following:

Duties and Responsibilities:

  • Prepare, draft, modify, edit, and proofread correspondence, PowerPoint, brochures, reports, immigrating program introductions, and related materials from the printed version to handwritten copy
  • Open and distribute incoming emails and other material to employees based on immigration programs and co-ordinate the flow of information internally
  • Organize the company’s weekly meetings, maintain the company’s Agenda, and maintain electronic meeting records ensuring information is organized and easily accessible
  • Arrange appointments fort customers, employees, and business partners; confirm appointments with the president and post them on the work calendar
  • Orders and maintains adequate office supplies, such as printer’s ink, paper, and office stationery to ensure the smooth operation of daily work
  • Answer telephone and electronic enquiries and relay telephone calls and messages
  • Greet visitors, inquire about the purpose of the visit, and direct visitors to the president, manager, or other assistants
  • Maintain file system of various files/records for the company including preparing files, organizing documentation, filing documents in a designated order, retrieving/replacing files, and shredding/destroying confidential or obsolete documents
  • Arrange periodic employee training in terms of the company’s various services, new programs, and updating immigration information
  • Provide supports for research activities such as collecting customers’ information for their application, researching the latest news reports regarding any change on the Immigration, Refugees and Citizenship Canada (IRCC) website
  • Arrange business travel, related itineraries, and make reservations, such as booking plane tickets and hotels.
  • Perform other job-related duties as assigned

Skillset Requirements and Personal Suitability

  • Proficiency with computer-based office productivity software
  • Ability to provide reliable administrative support and coordination in a variety of areas
  • Excellent ability to effectively communicate orally and in writing
  • Time management ability to work efficiently in handling multiple assignments with competing priorities before deadlines
  • Ability to work independently with minimum supervision
  • Ability to be accurate, detail-oriented, and organized in administrative work
  • Ability to cooperate with team members effectively in the company
  • Value our customers and put their satisfaction into priority
  • Ability to be flexible in daily work

Work Experience


  • Minimum one year working experience



  • College, CEGEP, or diploma from a program of 1-2 years or equivalent experience

Work Language:

  • Proficiency in English comprehension and expression


  • 10 days paid vacation per year plus bonus and commission based on performance
