Duties and Responsibilities as an Administrative Assistant (NOC 13110),but not limited
1. Prepare and review correspondence, invoices, and contracts for specific engineering projects.
2. Manage and track the distribution of engineering drawings and related documents via email.
3. Coordinate meetings between senior engineers and clients, ensuring timings and venues are mutually convenient.
4. Oversee the inventory of office supplies, liaising regularly with suppliers to ensure timely delivery.
5. Handle phone and electronic inquiries pertaining to specific project details at Lia Engineering Ltd.
6. Maintain and update the engineering project database and filing systems.
7. Develop and implement administrative processes and office policies tailored to the unique requirements of Lia Engineering Ltd.
8. Greet customers and suppliers at the reception, ensuring they meet the right team members in a timely manner.
9. Record key decisions and action items from engineering project meetings.
10. Organize both domestic and international travel arrangements for the Lia Engineering Ltd team, ensuring travel aligns with budget and timelines.
11. Compile data and statistical information based on the engineering project needs of Lia Engineering Ltd.
12. Train new administrative personnel in the company's software and procedures.
13. Be responsible for organizing seminars and meetings within Lia Engineering Ltd and between clients.
